Good Day Members,
Food Bank has gathered members of our network to join an Online Ordering Advisory Group. This group helps to inform enhancements and modifications to the Online Ordering System (OOS) and flag challenges and areas for improvement.
With advisement from the group, Food Bank has adjusted the OOS. These adjustments include:
? System Challenge: On occasion, when opening an existing order to edit certain inventory items would have a reduced quantity or be eliminated from the order.
? System Solution: Process Adjustment that will no longer reduce or remove the quantity of items submitted on an order when that order is reopened for editing.
As we’ve been able to adjust our process the OOS will now have a Single Order Process Online.
What does this mean?
Placing multiple dry and/or cold orders is no longer accessible. For example, if you place a dry order on Friday 3/23/20018 for delivery on 3/30/2018, you will not be able to place another DRY order until 2 days prior your delivery day for the DRY order submitted on 3/23/20018.
However, you will be able to continue to edit your existing order and add additional inventory items and/or remove them or change the number of cases until 3/28/2018 at which time you will be able to submit a new DRY order.
FAQ
Why is the Food Bank For New York City making this change?
Food Bank for New York City is always looking to improve the process and serve our partner Member Agencies. By consolidating to a single order, we will improve the internal processes by reducing the amount of time that it takes to route, select and process orders. By saving time and reducing the amount of resources that goes to our current process, we can focus that time and resources to improve our customer service and build our members capacity.
Member Benefits: There is no longer the need to monitor multiple orders at once. You will need to monitor only one order per order type (DRY/COLD). Upon delivery, you will get one invoice (2 copies) instead of multiple invoices to sign.
When does this go into effect?
The process change of the Max Quantity when in effect 3/15/2018
The Single Order will go in effect on 4/20/2018.
Can I edit my order the two business days prior to delivery? No, your order is final.
Is this a temporary enhancement? No, this is a permanent solution to improve our efficiency.
